Maintenance Services Clerk

DEFINITION: 

The Maintenance Services Clerk, under the supervision of the Transportation Coordinator, is responsible for providing clerical/dispatch support services for the Transportation Department.  Performs a wide variety of general office functions of a routine and recurring nature; filing, typing, data entry, and related work as assigned.  Provides clerical and administrative support to the Transportation Coordinator and Director of Operations, as requested. 

ESSENTIAL FUNCTIONS:

Assists the Transportation Coordinator in daily maintenance activities.  Works cooperatively with Mechanic III to coordinate maintenance and repair activities. Maintains records of all Work Training Center vehicle repairs, scheduled services, vendor purchases, and other activities as directed. Keeps affected departments informed on the status of program vehicles in the shop for repairs or preventive maintenance. Dispatch route drivers as directed by Transportation Coordinator or Director of Operations. Maintains up to date maintenance records and other databases, including, but not limited to WTC vehicle list, DMV list, Pull Notice list, and others. Prepares and submits required reports. Follows established guidelines, procedures, and WTC policies. Performs diversified clerical duties, types letters and memos from hand-written drafts, and distributes meeting minutes/schedules. Keeps Transportation Coordinator promptly and fully informed of all problems or unusual matters of significance and takes prompt corrective action as directed. Ability to work flexible hours on short notice, such as split shift and/or overtime.

ADDITIONAL DUTIES:

Drive transportation routes and/or contract runs as needed. Perform Bus Companion duties as needed. Performs other duties and responsibilities as required or requested by the Transportation Coordinator, Director of Operations, or Executive Director.

PHYSICAL DEMANDS:

Employee is regularly required to stand; walk; bend; lift; climb or balance; use hands; reach with hands and arms; and see and communicate with sufficient acuity to successfully perform all aspects of the job. Employee must be able to mount and dismount busses/vans, and demonstrate ability to move and tie-down clients in wheelchairs.  Ability to safely lift and move 35 pounds. The employee is required to sit for extended periods of time. Employee must be able to demonstrate manual dexterity, hand-eye coordination, and perform simple grasping.  Reasonable accommodations will be provided as needed.

QUALIFICATIONS:

Require:

General knowledge of accepted office procedures and secretarial responsibilities acquired through three years of appropriate experience, or in combination with formal education. Demonstrated customer service experience and ability to interact in a positive manner with staff, clients, customers/care providers, and program coordinators. Present a uniformly positive image of WTC programs and services during all informal community contacts as well as during regular workday activities. Demonstrated talent for accuracy, thoroughness, and organization. Ability, under limited supervision, to organize and prioritize workload in order to complete required procedures in a timely manner. Knowledge of operation of business machines, along with related computer (Microsoft Office) experience and training.  Certification for typing at 40 WPM (net). Ability to obtain a valid Class ‘B’ California Driver’s License and maintain a clear DMV to be insurable by Work Training Center. Ability to obtain state certification as a “Driver Trainer” and train WTC drivers in the essential functions of driving a Class ‘B’ vehicle. A fingerprint clearance from the Department of Justice on file as a condition of continued employment. Ability to obtain, and maintain, CPR and First Aid certification. Adherence to established dress standards.

PREFER OR ABILITY TO ACQUIRE:

Previous front office/receptionist experience in a mid-size company. Maintenance and/or transportation experience.

SALARY:

Grade Level IV • Full-time position

Wage: $8.84 - $14.16/hour with benefits (upon successful completion of six-month introductory period).

Pay levels for new employees, whose qualifications exceed the minimum job requirements, may be started at a higher rate than the bottom figure listed for the salary range.
